Welcome to the Solar Training Centre (STC) and Green Business Audit & Training (GBAT)

 

Congratulations on choosing to undertake a course with us!

 

We are committed to providing quality training and assessment services that meet the needs of our learners and industry standards. This Student Handbook has been developed to help you understand the services we offer, your rights and responsibilities as a student, and our obligations as a Registered Training Organisation (RTO) under the Standards for NVR RTOs 2025.

 

As part of our compliance with these Standards, we ensure that all learners are adequately informed about:

  • The training and support services they will receive
  • Their rights and obligations as students and
  • Our responsibilities as an RTO.

 

This Handbook contains important information relating to your enrolment, study expectations, assessments, policies, procedures, and support services. It is essential that you read this document carefully before signing your Enrolment Form and Individual Training Agreement.

 

By signing those documents, you acknowledge that you:

  • Have received and read this Student Handbook,
  • Understand the information provided, and
  • Agree to abide by the RTO’s policies and procedures.

As a Registered Training Organisation (RTO), STC/GBAT is committed to operating within the legal framework that governs vocational education and training in Australia. This ensures the integrity of nationally recognised qualifications and the protection of learner rights. STC/GBAT is dedicated to following the provisions in the VET Quality Framework

 

STC/GBAT complies with the following key legislation:

  • Standards for NVR Registered Training Organisations 2025
  • National Vocational Education and Training Regulator Act 2011

 

In addition to these core requirements, STC/GBAT adheres to a range of other legal obligations at both State and Commonwealth levels, including but not limited to:

7.  Privacy & Confidentiality

STC/GBAT is committed to protecting the privacy and confidentiality of all students. We collect, store, and manage personal information in accordance with the Privacy Act 1988.

 

Some general, non-identifiable information—such as location, gender, age, and academic outcomes—may be provided to government agencies to support funding arrangements and statistical reporting requirements.

 

We only share personal information with external bodies, such as registering authorities, to meet our compliance obligations as a Registered Training Organisation (RTO), or with ASIC where necessary to fulfil licensing requirements. All shared data is treated with the strictest confidentiality by all parties and is available to students upon request.

 

In some instances, we are legally required or obligated under the Australian VET Quality Framework to provide student data to organisations such as the National Centre for Vocational Education and Research (NCVER) and the Australian Skills Quality Authority (ASQA). If your course is subsidised by a government or funding body, we may also be required to share relevant information with that body.

Please be assured that we will not release your personal information to any third party without your express consent—unless required by law.

 

8.  Access to Your Records

STC/GBAT retains training documentation electronically and/or in hard copy in a secure manner for 30 years. If you wish to access your information on your student file, please direct your enquiry to info@greenrto.com.au. You will be required to fill out and submit a Student Records Access Form to initiate this process.

 

9.  Enrolment

You must be over 18 years to enrol in courses run by STC/GBAT. The enrolment process may vary depending on the type of qualification you intend to study. You may need to register for enrolment via our online course registration calendar at www.greenrto.com.au or www.solarrto.com.au. You can also contact our Head Office on +618 84436373 / 0490 115 332. A copy of this Student Handbook is available to you via our website for you read and understand.

 

To enrol in a course with STC/GBAT, you must complete an Enrolment Form along with any required documentation. This may include a self-assessment to identify any special circumstances or specific training needs you may have.

You will be provided with detailed information regarding the fees and charges associated with your chosen course. Payment terms and available payment methods will also be clearly outlined during the enrolment process.

As part of the enrolment process, you may be required to complete a Language, Literacy Numeracy and Digital Literacy (LLND) assessment. This assessment helps us identify any areas where you may benefit from additional learning support to ensure your success in the course.

 

Once all enrolment documentation has been submitted, your application will be assessed. You will be advised in writing of the outcome. If successful, you will be formally enrolled into the course, and a qualified trainer and assessor will be assigned to guide and support you throughout your studies. Please note: Enrolment is not confirmed until all fees have been paid as agreed.

 

Enrolment Applications from Students with Training Qualifications/ pursuing them

We require all students who hold, are enrolled in, intend to pursue, or are currently working with training qualifications—including those working as a trainer or for an organisation delivering training—to declare this at the time of enrolment.

Please note that publicly offered, nationally accredited training programs at STC/GBAT are not “Train the Trainer” courses.

A “Train the Trainer” course is specifically designed for individuals who are seeking to become qualified to deliver training to others. It focuses on developing the skills necessary for instructing and assessing learners in a formal training environment.

We reserve the right to decline enrolment for individuals who hold, are pursuing, or are employed in training-related qualifications or roles, where participation may not align with the intended purpose of the course.

Occasionally, we will offer “Train the Trainer” education programs designed specifically for VET Educators who hold training and assessment qualifications, or for individuals who intend to enter the VET education field.

 

These programs will be developed through open and transparent negotiation and will be promoted and priced accordingly to reflect their targeted purpose and the needs of the participants.

 

10.       Course Enrolment and Start Dates

You may be able to enrol and begin studying immediately if your chosen course allows for flexible start dates. For other courses, you may need to attend face-to-face classroom sessions to begin your study.

11.       Entry Requirements

Please contact STC/GBAT to confirm any pre-requisites and entry requirements that are required for entry to the course in which you are interested. These are detailed in the Course Outline. They may relate to things such as:

 

  • Previous workplace experience
  • Previous completion of another qualification that is specified as a pre-requisite for a course
  • Levels of language, literacy and numeracy and digital literacy (LLND) skills appropriate for successful completion of the coursework and also, for effective performance in the workplace in the specific job-role
  • Access to a relevant workplace and job-role where the required competencies can be learned and practiced
  • Access to a computer or tablet that has appropriate software and capacity to access learning and assessment materials
  • Access to an internet connection with sufficient capacity to download course materials (e.g. broadband connection)
  • Access to course specific materials such as personal protective equipment (PPE) or other tools of trade

 

We will need to verify any prerequisite nationally recognised qualifications that you provide. Please note that some institutions may charge a small fee for this verification service, which will be your responsibility to cover.

 

If your qualification was awarded in 2015 or later, you can provide us with your Viewable VET Transcript Academic Transcript directly from the USI web portal at www.usi.gov.au.

 

Refer to the Verify Certificates Procedure displayed in our website for information about what types of documents we can accept as evidence of your completion of prerequisite nationally recognised qualifications, and how to obtain them. Unique Student Identifier (USI)

 

Unique Student Identifier (USI)

 

A Unique Student Identifier (USI) is required for all Australians undertaking nationally recognised training. The USI links to a secure online record of all qualifications you have gained, regardless of the training provider. This system, implemented by the Australian Government in 2015, includes student achievements from 1 January 2015 onwards.

 

As a Registered Training Organisation (RTO), STC/GBAT cannot issue Qualification Certificates or Statements of Attainment without a valid USI. Therefore, it is mandatory for all students to supply their USI. While it is preferred that you provide your USI at the time of enrolment, we can accept it at a later date. If you do not have a USI, please visit https://www.usi.gov.au/students/create-your-usi for more information and step-by-step instructions on how to apply.

 

Upon enrolment, you will also be required to provide STC/GBAT with your consent to verify your USI, as required by the Commonwealth Government.

 

Please ensure that your USI details are kept up to date. If your details change or you obtain additional qualifications, it is your responsibility to update your USI record to ensure that your training history remains accurate and complete.

 

12.       Course Outline and Customised Learning Plans

At the start of your course, we will provide you with a course outline that details the course outcomes, learning content, assessment requirements, and the timeframes needed to complete your training and assessment.

Where necessary, STC/GBAT will work with you to develop a customised learning plan. This plan is tailored to address your individual learning needs and personal circumstances, ensuring that all course requirements are met. Together, we will identify any areas where you may need additional support and structure your learning schedule accordingly. The customised plan is designed to ensure your success by providing flexibility while maintaining the integrity of the course content.

13.       Access and Equity

14.       Student Welfare and Support Services

STC/GBAT is always concerned for the welfare of its students. If you are experiencing any difficulties or require counselling or personal support, there are a number of professional organisations available to assist you. These services are equipped to offer the help and support you may need:

15.       Fees and Charges

  • The course you choose to study
  • Course duration
  • Study load and mode (e.g., full-time, part-time, face-to-face, online)
  • Credits that may apply through direct credit transfer, Recognition of Prior Learning (RPL), and/or Recognition of Current Competency (RCC)
  • Your eligibility for subsidies or concessions

 

Before enrolment, we will advise you of the applicable course fees with you and/or any third party (e.g., employer) who will be responsible for paying the tuition fees. Please note that all fees are accurate at the time of registration for your course. However, published fees are subject to change, so it is always best to confirm any updates.

 

If you have any questions regarding course fees, please do not hesitate to contact us. Some students may be eligible for a concession fee under Government supported training programs. Students of Aboriginal or Torres Strait Islander origin, as well as holders of concession cards (such as Health Care Card, Pensioner Concession Card, or Veterans Affairs Pensioner Concession Card), may be eligible for reduced fees under Government supported training programs.  If you do not currently hold a concession card, you can contact Human Services (Centrelink) to determine your eligibility. For self-funded students, the total course fees charged before the course commences will not exceed $1500m with the remainder due on a payment plan we provide you. This does not apply if an employer or third party is responsible for paying your course fees.

16.       Course Fees

17.       Other Fees

For more detailed information about our fees, please refer to our Fees Terms and Conditions Policy, which is published on our website. This policy includes, but is not limited to, the following:

 

  • Replacement of Training Materials
    STC/GBAT will charge a fee for the replacement of any lost training and/or assessment materials that have been previously issued to you. If you require replacement materials, please speak with your trainer or contact us at info@greenrto.com.au.

 

  • Re-issue of Transcripts
    An administration fee applies for the re-issue of your Certificate or Statement of Attainment.

 

  • Additional Training for Resubmission of Assessments
    Students who are deemed Not Yet Competent (NYC) after assessment will be offered up to one hour of additional training and one resubmission of assessments without incurring any additional fees. This additional training and resubmission of your assessment must occur within the timeframe designated by STC/GBAT. Any additional training required beyond this will be subject to an additional fee and the availability of our trainers.

 

  • Cancellation Fee
    A cancellation fee may apply if you withdraw from a course after enrolment. Please refer to our Fees Terms and Conditions Policy for specific details regarding the cancellation fee structure. Generally, this fee will be based on the amount of the course you have already completed at the time of withdrawal and any administrative costs incurred.

 

  • Payment Deadlines
    All course fees must be paid in full by the commencement date of your course unless otherwise agreed upon with STC/GBAT. Late payments may result in a delay in accessing course materials and training, and could incur additional fees.

18.       Payment Options

Payment of course fees can be made via:

  • Electronic funds transfer – refer to the Payments page on our website for details
  • Cash – tax receipt provided

 

Fees must be paid by the due date advised in your individual training contract or on your invoice. This will be clearly stated prior to your enrolment.

Please note that outstanding fees may result in cancellation of your enrolment and/or STC/GBAT withholding the issue of qualifications until all fees are paid. If you have trouble paying your fees, please contact us at info@greenrto.com.au / +618 8443 6373 to discuss options.

19.       Failure to Make Payment

If payments are not made according to the agreed terms of the training contract, STC/GBAT may find it necessary to suspend training until payment is received. Failure to meet payment obligations by the student and/or their representative may result in the outstanding debt being forwarded to a registered debt collector. Any fees associated with this service will be added to the total outstanding amount for recovery.

 

If you are experiencing financial difficulty, please contact us as soon as possible to discuss available options. We may be able to offer payment extensions, payment plans, or alternative arrangements to help you manage your fees and continue your studies without interruption. We encourage you to reach out early so we can assist you in avoiding any disruption to your training or the accumulation of additional fees.

 

20.       Refunds

Should a student withdraw from a course for any reason, a full or partial refund may be applicable if it is line with our advertised Fees Terms and Conditions Policy. Information below outlines some of the circumstances under which a refund may be granted. Please contact us at info@greenrto.com.au to discuss individual circumstances.

 

 

21.       Course Withdrawal and Refund

If you wish to withdraw from a course, you must advise us in writing of your decision within 7 days.

 

Please send your notification to info@greenrto.com.au and include the following information:

  • Your name
  • Contact details (address, phone, email, etc.)
  • USI number
  • Effective date of cancellation
  • If applicable, reason for refund request

 

Your application will be reviewed, and you will be notified of the outcome within 7 business days.

 

22.       Withdrawal Prior to Commencement of Course

If you withdraw from a course prior to commencing any learning, a refund of the full or part of the course fee may be issued, in accordance with our Fees Terms and Conditions Policy. The refund will be minus an administration fee (which covers the costs of processing your enrolment) and any applicable fees for course resources that have already been issued to you.

 

23.       Withdrawal After Commencement of Course

Your course commences when we provide you access to your course materials. Refunds are generally not permitted once we do so.  In some cases you may be eligible for a partial refund if you have not commenced all units of a course. Any refund will be subject to an administration fee and any fees for resources already provided. The specific refund amount will be determined based on the stage of your course participation.

  • If the course has already commenced, a pro-rata refund maybe calculated for the units of study not already started
  • Tuition fees for User Choice agreements based on nominal hours will be refunded for the units not trained
  • Any co-contribution fees paid for Government subsidised training will be refunded for the units not trained

 

24.       Withdrawal Due to Illness or Hardship

In circumstances of illness and/or extreme hardship, you may withdraw and you may be entitled to a partial refund under the following conditions:

  • Any refund will be at the discretion of STC/GBAT
  • Satisfactory evidence for the reason withdrawal (e.g. medical certificate) must be provided
  • A non-refundable administration fee will be deducted from any eligible refund

25.       Cancellation of Course by STC/GBAT

In the event that a course is cancelled by STC/GBAT for any reason, students enrolled at the time of the cancellation announcement will receive a full refund of their course fees. If you have already been assessed as competent in some units of the course, you will be issued a Statement of Attainment for those units. The cost of issuing the statement(s) will be deducted from the refund total.

 

You may also choose to enrol in the next available course date. We will inform you of the new schedule and assist with the re-enrolment process.

 

If we are unable to fulfil our training agreement with you, we will work with you to arrange alternative options for completing the course. This may involve transferring your enrolment to another registered training provider, at no additional cost to you, to ensure you can complete your training.

26.       Course Information

Prior to your enrolment being accepted, you will receive a course outline that includes the study requirements, assessment submission guidelines, and the session plan for your course. This will supply you will detailed information regarding:-

 

  • Classroom sessions and tuition sessions
  • Online modules
  • Self-directed study
  • Optional attendance at additional sessions
  • A combination of the above

 

Your training may involve a combination of delivery methods, as outline in your course outline.

 

After your enrolment, you will be provided with access to training materials in either hard copy or digital format. Textbooks may be provided, or you may be advised to purchase them at your own cost from external suppliers. Additionally, you will need to supply your own stationery materials.

 

A welcome email will be sent to you with all necessary details to help you get started with your learning.

 

 

27.       Duration

The duration of your course depends on several factors, including your own efforts, commitment to submitting assessments on time, and your study load (e.g., full-time or part-time). Additionally, the number of units eligible for credit transfer or recognition of prior learning (RPL), as well as the level of the qualification you are undertaking, will impact the overall duration.

 

The Australian Qualifications Framework (AQF) outlines the criteria for different qualification levels, giving an indication of the complexity, depth of achievement, knowledge, skills, and autonomy required to earn a qualification at each level.

 

The AQF also provides an estimate of the time typically required to complete a qualification, expressed as an equivalent of full-time years. This is referred to as the ‘Volume of Learning’, which reflects the expected study and learning time to achieve the qualification.

 

 

Volume of Learning

The Volume of Learning statement provides an estimate of the amount of time a full-time student would need to complete the qualification. These figures assume that the student does not already hold any of the competencies required by the qualification.

 

The listed time frames account for all learning activities, including supervised training, classroom sessions, online modules, and/or workplace learning. They also include individual study, practice, and other self-directed learning that is necessary to meet the requirements of the qualification.

 

 

The Volume of Learning for qualifications in the VET sector are:

28.       Competency Based Training

Competency-Based Training (CBT) is a teaching approach that focuses on enabling students to demonstrate their ability to perform specific tasks. Widely used in the VET (Vocational Education and Training) sector, CBT is designed to develop practical, workplace-relevant skills based on industry standards and expectations.

 

CBT programs consist of Units of Competency, each of which outlines the specific skills and knowledge needed to effectively perform in the workplace. Assessment is based on the learning outcomes for each Unit of Competency, ensuring that students meet the required standards of performance.

 

 

29.       How Does Assessment Work in CBT?

Unlike traditional grading systems, which use a scale from A to Fail, Competency-Based Assessment (CBA) evaluates whether you have the required skills and knowledge to meet the performance standards in each Unit of Competency.

The purpose of assessment in CBT is to determine whether a student can achieve the essential outcomes outlined in the performance criteria of the unit. Essentially, it checks whether a student possesses the skills and knowledge needed to perform effectively in the workplace.

If a student’s performance does not meet the required standards, they are marked as ‘Not Yet Competent’ (NYC) rather than failing. This means additional training is needed to reach the level of ‘Competent’ (C). Assessors will look for evidence to support their judgment of competency, ensuring that each student’s abilities are accurately evaluated.

The ways to demonstrate to our qualified assessors that you can perform to the required standard and be classed as ‘Competent’ or ‘Meeting Requirements’, include:

  • Being observed as you work/perform the tasks and activities
  • Responses to verbal questioning
  • Written responses to theory questions
  • Responding to a role play or case study
  • Conducting a project
  • Submitting a written report
  • Compiling a portfolio of work samples
  • A combination of the above

 

STC/GBAT has a Training and Assessment Strategy for each of the qualifications we deliver, and we outline our approaches for conducting assessment in those strategies.

30.       Training and Assessment Strategies

Our staff are appropriately qualified and have sufficient, relevant industry experience to train and assess the courses delivered by STC/GBAT.

 

  • Staff Qualifications and Industry Experience:
    Staff are “appropriately qualified” and possess “relevant industry experience” in accordance to the 2025 Standards. STC/GBAT ensures that our trainers and assessors have the required qualifications and experience to deliver and assess training effectively.

.

 

  • Training and Assessment Methodologies:
    STC/GBAT methodologies that meet national assessment principles, such as Recognition of Prior Learning (RPL), Recognition of Current Competencies (RCC), and Direct Credit Transfer (DCT), is in compliance with the Standards. STC/GBAT have transparent policies and processes for recognition of prior learning, credit transfer, and assessment Following these principles ensures that STC/GBAT appropriately assess students’ competencies, including acknowledging prior experience.

 

  • Competency-Based Training and Assessment:
    We align our Training and Assessment Strategies with the Australian Qualifications Framework (AQF), which are consistent with the Standards. STC/GBAT use competency-based assessments and ensure they meet the AQF criteria.

 

31.       Flexible Learning and Assessment

Included in our training and assessment strategies are practices that promote flexibility in learning and assessment. This means we will work with you to provide options that are responsive to your individual needs, and that maximise learning outcomes and access to learning activities.

Making the most of your training program

It is very important to make the most of your training opportunity. We will help you as much as possible, but, please note it is your responsibility to do this. To optimise your own learning and successful completion, undertake to do the following:

  • Attend the workshops and complete all required reading and learning activities
  • Prepare well in advance of each workshop
  • Be a willing participant
  • Work with fellow clients
  • Respect other people’s opinions
  • Ensure you have a clear understanding of the assessment requirements
  • Take responsibility for the quality of evidence that you submit to the Assessor
  • Keep track of your progress
  • Complete and submit all assessment tasks using clear and concise language
  • Be willing to contact your trainer if you do not understand the training activity(s) or assessment task(s)

 

32.       Training Plans

If your course includes vocational placement or is part of a workplace traineeship, a Training Plan will be developed collaboratively between you, the host employer or placement organisation, and STC/GBAT. This plan will outline the skills and knowledge you are expected to develop during the course of your training.

The Training Plan is considered a living document and will be updated as needed, with all changes discussed and agreed upon by all parties involved. This ensures the training remains relevant, targeted, and aligned with both course outcomes and workplace expectations.

33.       Third-Party Arrangements

Currently, STC/GBAT do not have any third parties providing services on our behalf.

If STC/GBAT decides to enter into such agreements with other parties, we will advise you, our students, of

  • the training, assessments and other services these parties provide to you on our behalf, and
  • your rights if the third party closes or ceases to deliver any part of the training that you are enrolled in

 

34.       Recognition Processes

STC/GBAT offers assessment processes that enable recognition of competencies currently held, regardless of how, when or where the learning occurred. These are detailed below:

·       Recognition of Prior Learning

Recognition of Prior Learning (RPL) is an assessment process that involves making a judgment on the skills and knowledge an individual has as a result of past study and/or experience. The aim of RPL is to recognise your existing competencies without you having to go through the complete processes of training and assessment. You will still need to provide extensive evidence though, upon which your assessor can base their judgement.

Evidence must be:

  • Authentic – it must be your own work
  • Sufficient – it must demonstrate competence over a period of time, that the competencies can be repeated, and the evidence must be enough so that the assessor can make an accurate judgement regarding competency
  • Current – it must demonstrate up-to-date knowledge and skills i.e. from the present or the very-recent past
  • Valid – it must be relevant to what is being assessed

 

RPL is a rigorous process and requires you to demonstrate  skills and knowledge in one with the unit curriculum to the same breadth and depth as that of a student undertaking studies via traditional learning and assessment.

 

You wish apply for RPL on one or more Units of Competency in your course but you must do so at the time of enrolment. Please contact info@greenrto.com.au to discuss your options. Full course fees are charged for enrolment via RPL.

 

·       Recognition of Current Competencies

Recognition of Current Competencies is a recognition process similar to RPL. It applies if a student has “…previously successfully completed the requirements for a unit of competency…and is now required to be reassessed to ensure the competence is being maintained”.

·       Credit Transfer

STC/GBAT recognises AQF qualifications and Statements of Attainment that have been issued by other RTOs. Credit transfer may be applied to Units of Competency and related qualifications that have been studied in the past. To apply for a direct credit transfer you will need to supply a certified copy your documentation (certificates and/or statements). For full details on the requirements for credit transfer applications, please contact Head Office at info@greenrto.com.au . There is no charge for Credit Transfers.

 

35.       Foundation Skills

All training and assessment delivered by STC/GBAT incorporate Foundation Skills, which are a mandatory component of every Unit of Competency.

 

Foundation Skills refer to the non-technical skills essential for effective participation in the workplace, community, and adult education and training. These include core capabilities such as:

  • Communication
  • Literacy and numeracy (reading, writing, and basic maths)
  • Working collaboratively with others
  • Problem-solving and critical thinking
  • Self-management and time management

 

These skills are integrated into your training to help you perform successfully and confidently in real-world environments.

 

 

36.       Assessment Information

·        Submitting Assessments

As a student at STC/GBAT, you are expected to complete assessments for all units in your qualification and demonstrate ongoing academic progress throughout your course.

 

Assessment Timeframes

You will receive a Course Outline prior to commencement, which outlines:

  • The units of competency
  • Assessment submission dates
  • Timeframes for completion

It is your responsibility to ensure all assessments are submitted by the due date.

 

 

Assessment Instructions

Each assessment task includes:

  • Detailed instructions
  • The context and purpose of the task
  • Required formats and criteria

If anything is unclear, please speak to your trainer or assessor for clarification before submission.

 

Requesting an Extension

  • If you are unable to meet an assessment deadline:
  • You must request an extension in writing
  • Contact your trainer directly or email: info@greenrto.com.au
  • You may be asked to complete an Assessment Extension Request Form

If approved, a new submission deadline will be issued.

 

·        Assessment Feedback

You will receive individual feedback on each of your assessment items.

 

To be deemed Competent in a nationally accredited unit, you must:

  • Successfully meet the requirements for all elements that make up that unit of competency.
  • Provide sufficient, valid, current and authentic evidence to demonstrate your skills and knowledge as required by the unit.

 

Your assessor will provide clear feedback outlining:

  • The outcome of your assessment (e.g. Competent or Not Yet Competent),
  • Any gaps in evidence (if applicable), and
  • Guidance on what is required for resubmission, if necessary.

 

·        Resubmissions

Number of Resubmissions

You will be advised of the permitted number of resubmissions for each individual assessment task in your course materials or by your trainer.

 

What Happens If Your Submission is Unsatisfactory?

If you receive feedback indicating your submission is:

  • Unsatisfactory, or
  • Not Yet Competent (NYC), or
  • Requires resubmission or additional evidence,

you will need to provide further evidence to demonstrate your competency.

 

This could include:

  • Re-attempting theory questions
  • Enhancing your portfolio with additional or more relevant information
  • Re-performing a practical task or workplace demonstration

 

What If You’re Still Not Yet Competent?

If, after the allowed number of resubmissions, your assessment is still Not Yet Competent, you will be required to:

  • Re-enrol in the unit, and
  • Re-complete all required work to achieve competency

Re-enrolment will attract the published course fee applicable at the time.

·        Failure to submit assessments by the due date

If you do not submit your assessments within the specified time frame and you do not request an extension, your enrolment will be subject to cancellation.

If you do not submit your assessments within the time frame specified after an extension is provided to you, your enrolment will be subject to cancellation.

37.       Academic Integrity, Plagiarism, and Disciplinary Action

STC/GBAT takes instances of Academic misconduct seriously. All work that you submit must be your own. Each assessment you submit requires you to sign a declaration confirming that the work is your own and that you have not used the work of others without appropriate acknowledgment.

 

Academic misconduct means:
Presentation of data with respect to all student’s work/ assessments that has been copied, falsified or in other ways obtained improperly. This includes:

 

  • Including of material in individual work that has involved significant assistance from another person, where such assistance is not expressly permitted in the relevant Training Plan or Assessment instructions to students;
  • Providing assistance to a student in the presentation of individual work, where such assistance is not expressly permitted in the relevant Training Plan or Assessment instructions to students;
  • Falsifying or misrepresenting academic records;
  • Plagiarism and cheating as defined below; other actions not covered by the above clauses that may be judged to be acts of academic misconduct

 

 

Plagiarism

Is the act of taking someone else’s work and/or ideas and presenting them as your own. It is a form of academic misconduct and is taken seriously

 

To help you understand what constitutes plagiarism, the following are examples:

  • Copying sections of text and not acknowledging the source.
  • Combining sections from different sources (‘cut and paste’) without proper referencing.
  • Presenting work that was completed as part of a group as your individual work.
  • Using any material (e.g. images, text, designs, or ideas) without citing the original author or source.
  • Failing to acknowledge sources due to lack of understanding—unintentional plagiarism is still considered misconduct.

 

To avoid plagiarism, you must reference all sources used. We recommend using a consistent referencing style such as Harvardhttps://www.adelaide.edu.au/writingcentre/referencing_guides/harvardStyleGuide.pdf         

 

If you’re unsure how to reference correctly, please speak to your trainer for assistance or refer to guides provided in your learning materials.

 

Cheating

Cheating is a form of academic misconduct. Examples of cheating include

  • Copying answers from another student or person
  • Presenting someone else’s work as your own
  • Allowing someone to submit your work as their own

 

Disciplinary Action

If you are found to have plagiarised or engaged in other forms of cheating, you may face disciplinary action which may include:

  • A requirement to re-submit the assessment.
  • Formal warning placed on your student record.
  • Being deemed Not Yet Competent in a course unit
  • Suspension or cancellation of your enrolment

38.       Complaints and Appeals

If you have a concern or complaint about any aspect of the services we provide, please contact our Training Manager by calling 08 8443 6373 or emailing info@greenrto.com.au. We are committed to resolving complaints fairly, promptly, and in accordance with our Complaints and Appeals Policy and Procedure, which is available on our website.

As a student, you also have the right to appeal decisions made in relation to your training and assessment. If you are dissatisfied with an assessment outcome, we encourage you to first discuss your concerns directly with your assessor. If the matter is not resolved to your satisfaction, you may request a formal review of the decision by lodging an appeal.

To lodge an appeal, please follow the steps outlined in our Complaints and Appeals Procedure. All appeals are handled with confidentiality and in a timely manner, and you will be kept informed throughout the process.

39.       Student Responsibilities and Code of Conduct

Just as STC/GBAT is committed to meeting its obligations under legislation, regulations, and the expectations of its students, students also have important responsibilities. You are expected to actively engage in your studies, submit assessments on time, and conduct yourself in a way that upholds workplace health and safety and demonstrates respect for others.

STC/GBAT takes student misconduct seriously. We expect all students to act with honesty and respect, maintaining behaviour that is appropriate for a professional learning environment and supports the integrity of our RTO.

Consequences of student misconduct vary up to and including expulsion from the course. Examples of student misconduct include, but are not limited to:

  • Academic misconduct, including plagiarism and cheating
  • Harassment, bullying, and/or discrimination
  • Falsifying information
  • Any behaviour or act that is against the law
  • Any behaviour that endangers the health, safety, and wellbeing of others
  • Intentionally damaging equipment and/or materials belonging to GBAT and/or a partner organisation, such as a workplace

 

Consequences for misconduct will depend on the severity and frequency of the breach and include, but are not limited to:

  • Formal reprimand (warning)
  • Suspension from the course
  • Student to reimburse the costs incurred by any damage caused
  • Cancellation of the course without refund and/or credit
  • Matter referred to the police

40.       Enrolment Refusal or Termination

STC/GBAT reserves the right to refuse or cancel the enrolment of any student or prospective student who:

  • Acts dishonestly towards the organisation,
  • Operates in direct competition with STC/GBAT, or
  • Fails to disclose, at the time of enrolment, that they are a qualified VET trainer/assessor currently employed by or subcontracted to another Registered Training Organisation (RTO).

 

Students who are subject to enrolment refusal or termination for misconduct have the right to appeal the decision in accordance with our Complaints and Appeals Policy and Procedure.

 

41.       Workplace Health and Safety

Workplace Health and Safety legislation applies to all individuals at STC/GBAT, including staff, students, and visitors. Everyone has a responsibility to contribute to a safe and healthy learning and working environment. This includes ensuring that your actions do not endanger your own health or safety, or that of others.

 

Please report any hazards, unsafe practices, or incidents immediately to a staff member or contact our office.

42.       Smoke-Free, Drug, and Alcohol Policy

STC/GBAT is committed to providing a safe, healthy, and respectful learning environment for all students and staff.

  • Smoke-Free Policy: STC/GBAT is a smoke-free workplace. Smoking is strictly prohibited inside all buildings and only allowed in designated smoking areas outside, which must be located at least four metres away from building entrances.
  • Drugs and Alcohol: Students under the influence of drugs or alcohol are not permitted to enter STC/GBAT premises, use its facilities or equipment, or participate in any STC/GBAT-related activities.
  • Prescription Medication: Individuals taking prescribed medication must ensure that it does not impair their ability to participate safely in training or compromise the safety of others.

 

43.       Continuous Improvement and Student Feedback

At STC/GBAT, we are committed to delivering high-quality training and assessment services in compliance with the Standards for RTOs 2025. Our quality assurance practices are designed to ensure that all programs meet industry, regulatory, and student expectations and that continuous improvement is embedded into everything we do.

 

To support this commitment, we regularly review and update our policies, procedures, training resources, and assessment tools. Student and stakeholder feedback is a critical part of our quality assurance process. We gather this through formal mechanisms such as course evaluation surveys, student satisfaction questionnaires, and industry consultation, as well as through informal feedback during training delivery.

 

Your input helps us identify what we’re doing well and where we can improve. You are encouraged to provide feedback at any time during your course, and we will also formally invite your input at the completion of your studies.

44.       Issuing Certificates

Upon successful completion of your coursework and provided all fees are paid, a Certificate or Statement of Attainment will be issued to you within 21 calendar days of you being assessed as meeting all requirements for the course. This meets the compliance requirements as set for STC/GBAT and other RTOs in the Standards for RTOs.

If, for some reason, STC/GBAT ceases to operate whilst you are still enrolled, a Statement of Attainment will be issued to you for the units within the qualification for which you have successfully met requirements. (See also the section “Cancellation of Course by GBAT”).

45.       Student Handbook Acknowledgement

All students are required to read and understand the contents of this Student Handbook prior to enrolment. The information provided outlines important policies, procedures, rights, responsibilities, and expectations during your training. If you have any questions or require clarification on any aspect of this Handbook, please contact us before proceeding.

 

Please note:
By signing your Enrolment Form and Individual Training Agreement, you are confirming that you:

  • Have received the Student Handbook.
  • Have read and understood its content; and
  • You agree to abide by the policies and procedures outlined within it.

 

Appendix A

Information from the Standards for RTOs 2025

Under the Standards for RTOs 2025, STC/GBAT is responsible for ensuring that all learners are adequately informed about the services they will receive, their rights and obligations, and the RTO’s responsibilities under these Standards.

 

This Student Handbook has been developed to provide you with key information to support a clear understanding of:

 

  • The training, assessment, and support services you can expect to receive;
  • Your rights and responsibilities as a learner;
  • Our obligations as a Registered Training Organisation.

 

We are committed to transparency and ongoing communication. In addition to this Handbook, relevant information is also published on our website and may be provided directly by our staff at various stages of your training journey.

 

If at any point you are unsure about your entitlements, responsibilities, or our processes, please contact us — we are here to support your success.

Inform and protect learners

Before you enrol or commence any training and assessment (whichever occurs first), STC/GBAT will provide you with clear and tailored advice to ensure the training product selected is appropriate for your individual goals, needs, and circumstances. This is distributed in print or through referral to an electronic copy, current and accurate information that enables you, the learner, to make informed decisions about undertaking training with STC/GBAT.

This process considers:

  • Your current skills and competencies,
  • Prior qualifications or experience,
  • Career or study objectives,
  • Any support needs you may have.

 

Our goal is to help you make an informed decision about your learning pathway and to ensure the training you undertake is relevant, achievable, and aligned with your aspirations.

Before you enrol in a course or begin any training and assessment, STC/GBAT will provide you with all the information you need to make an informed decision about your training options. This ensures that the training product is suitable for your individual needs, taking into account your existing skills, experience, and goals.

At a minimum, we will provide you with details about:

  • The course you are enrolling in, including the code, title, and current status of the training product as listed on the National Register (training.gov.au).
  • The training and assessment services we will deliver, including:
    • Estimated course duration
    • Expected location(s) of delivery
    • Expected modes of delivery (e.g., face-to-face, online, blended)
    • Any work placement requirements
    • Name and contact details of any third party providing training, assessment, or support services on our behalf

 

  • Educational and support services are available to help you complete your training.
  • Our obligations as an RTO, including:
  • Ensuring all training and assessment meet the required quality standards
  • Issuing your AQF (Australian Qualifications Framework) certification documentation upon successful completion

 

  • Your rights as a learner, including:
  • Access to our complaints and appeals process
  • Protection in the event that STC/GBAT, or a third party acting on our behalf, ceases operations or discontinues a course you are enrolled in

 

  • Your obligations as a learner, including:
  • Any debts or financial commitments, including those incurred under VET FEE-HELP (if applicable)
  • Entry requirements or prerequisites for your chosen course
  • Materials, tools, or equipment you may need to provide

 

  • Information on government training entitlements or subsidies, and how these may affect your enrolment and access to services.

If you have any questions about this information, we encourage you to contact us before enrolling.

Where STC/GBAT collects fees from an individual learner—either directly or through a third party—we are committed to providing full transparency about all financial and contractual arrangements before enrolment or the commencement of training and assessment, whichever occurs first.

 

You will be provided with, or directed to, detailed information about:

  • All relevant fees, including:
    • The total course fees payable
    • Fees that must be paid directly to STC/GBAT
    • Any additional costs (e.g., textbooks, equipment, materials)
    • Payment terms and conditions, including required deposits, instalment plans, and refund policies

 

  • Your rights as a consumer, including but not limited to:
    • Any statutory cooling-off period that may apply
    • Your right to obtain a refund for services not provided, in situations where:
      • The training arrangement is terminated early, or
      • STC/GBAT fails to deliver the agreed services

 

 

 

Notification of Changes:
If there are any changes to agreed your services, STC/GBAT will inform you as soon as practicable.

This includes:

  • Any new third-party arrangements or changes to existing third-party arrangements related to the delivery of training and assessment, or
  • A change in RTO ownership.

 

Our goal is to ensure you are fully informed and protected as a consumer and learner.

Consumer rights

STC/GBAT is committed to protecting your rights as a consumer and complying with all relevant state and territory legislation.

 

Your Rights as a Consumer:

As a prospective or enrolled learner, you have the right to:

  • Receive accurate information about your training and assessment services before making any commitment
  • Be advised of your rights under Australian Consumer Law, including entitlements to refunds or other remedies if services are not delivered as agreed
  • Access clear information regarding all course fees, payment terms, and refund conditions

 

If applicable, you will also be informed about your statutory cooling-off period, as required under the laws of the state or territory where your course is being offered. This allows you to withdraw from the course within a specified timeframe without financial penalty.

 

Notification of Service Changes:

STC/GBAT will notify you as soon as practicable if there are any changes that may affect the delivery of your training and assessment services. This includes:

  • A change in ownership of the RTO
  • Any new or amended third-party arrangements for the delivery of services on our behalf
